TOURS

Tours are scheduled by-appointment-only. Drop-in tours are unavailable, please email sales@ropeswinggroup.com to schedule your tour. 

CAPACITY

RECORD Full capacities are 340 seated and 600 cocktail. A layout program is offered to help you plan your preferred layout.

THE SPACE

RECORD may be rented in a Full Venue Buyout including 8,100 sqft of event space or split up as: RECORD North (4,400 sqft interior and 1400 sqft exterior bamboo garden) and RECORD South (3,700 sqft, 1200 sqft courtyard). These sq.ft. numbers do not include the bathroom area or kitchens. 

RATES

Rates for renting RECORD on your particular date can be obtained from our Sales team. Rates range from $1,250-$7500 depending on half or full venue, day of the week, and season.

Discount offers include: 
-Multi-date consecutive days: 10% off 2 days, 15% off 3 days, 20% off 5 days, 25% off 7 Days.
-Preferred accounts are eligible for 25% off when you reserve 5+ Events with RECORD annually.
-Non-profits are eligible for 20% Off.

ACCESS

RECORD will open for your event as early as 8AM for a full-day rental. The rental time period includes your set-up, event, and clean-up times and allows you to schedule the details of your day however works best for you. All event/entertainment must be cleaned up by 12AM. No items can remain overnight. 

STAFF

RECORD coordinator will be present upon arrival and at times during your setup and load-out. There will be someone on call for any venue questions at all times. RECORD staff does not run content for programs or buss/ service trash cleanup throughout the event. It is recommended to have a designated planner to assign these duties for day of execution. RECORD staff is not responsible for moving furniture and/or conducting “room flips” during an event’s rental hours. 

FURNITURE

(20) 72” round tables will be available at no additional cost, RECORD team will pre-set. (200) padded mesh-backed modern chairs will be available at no additional cost, RECORD team will pre-set according to diagram and breakdown after the event concludes. Renters are welcome to rent your own tables and chairs and often this options may allow for additional capacity. RECORD offers black floor-length linen for our 72” round tables at an additional $15 each. We do not carry staging or podium.

FOOD

RECORD allows for an open catering policy for private events. You may bring in your own food. If you hire a caterer they must be licensed and insured to do business in the state of Arkansas. If your event is open to the public, your food must be provided by a caterer licensed and insured to do business in the state of Arkansas. RECORD does not provide small wares or server ware for catering.

DRINK

RECORD does not allow renters to bring their own alcohol, the only exception is for non- profits to bring donated beer and wine only. Non-profit beer and wine are subject to a corkage fee of $10 per bottle and $1.50 per guest for beer. RECORD Bar program information can be found on our website 

KITCHEN

A commercial prep kitchen is available for use by renters of vendors. Kitchen amenities include a large ice machine, prep tables, cooler space, hot boxes, beverage makers and dish pit. There are no ovens in the prep kitchen.

FLOOR PLAN

RECORD staff will set the room according to the agreed-upon floorplan and must be confirmed at least 7 days in advance of the event date. Renters who desire other rentals or to remove approved pre-set furnishings are responsible for making these adjustments themselves. Renters are responsible for any desired room flip. 

ENTERTAINMENT

Hired entertainment is responsible for their own PA system. They are also required to adhere to sound ordinances. 

AV EQUIPMENT

RECORD has a fully integrated AV system with projectors, screens, and audio that is HDMI and AUX compatible. There are 4 wireless channels on site with handheld, lavaliere, and wired microphones. Each room has it’s own mixer for volume and input control. RECORD on-site coordinator is not responsible for running content or hookup, it is recommended that an experienced A/V professional or point of contact be assigned this duty in advance of the program date. RECORD offers complimentary planning site appointment to meet with A/V professional or point of contact to test run equipment prior to event date. There is power sourcing approximately every 6’-8’ throughout the venue space. Extension chords and converter chords are not provided. 

PARKING

In addition to on street parking, there are several public lots in the vicinity. The closest public parking is across the street and all downtown public parking is FREE. 

SECURITY

May be required at the client’s expense for open to the public events over 300 guests. 

INSURANCE

If you are an individual without event insurance we suggest contacting your home- owners insurance agent to inquire about “event insurance”.  We can offer resources where various options and companies with which you can obtain event insurance.

DEPOSIT/BALANCE

To hold a date for your event Record must have a signed agreement as well as 50% Room Rental fee paid. 30 days prior to your event the remaining Room Rental fee plus service charges and taxes is due. At this time we also require a separate Security Deposit for damages (this amount is noted on the agreement), this is refunded upon completion of your event as long as the space is returned in which it was delivered. 

BAR PAYMENTS

14 days prior to the event the final guest count and bar payment in full must be made
